Preparing a VIBS Book

The Editors are pleased to assist with your preparation of your book in conformity to the VIBS publishing standards. Rodopi and VIBS have a publishing arrangement that requires the author to provide the camera-ready text in electronic form, which is presently moving to the Adobe Acrobat pdf format. By this method Rodopi makes your book directly from what you provide, so there is no intervening stage of proofing typeset pages, which usually introduces new errors. On the other hand, the author takes full responsibility for the perfection of the final presentation, subject to VIBS supervision and approval.

VIBS and its Editors are ready to assist you with compliance to its standards. You may wish to hire a professional preparer to assist. VIBS can refer you to preparers who have already done excellent and timely work on VIBS volumes.

Stage One: Understanding VIBS Expectations

All works accepted for publication by VIBS must conform to the VIBS standards of professional editing, which are stated in the Handbook for Authors and the Guide for Preparing Volumes in Value Inquiry Book Series. Both the Handbook and the Guide may be obtained from any Editor, or obtained at this webpage.

Stage Two: Formatting the Book

The Executive Editor has developed several sets of templates in MSWord that can be used to format your manuscript. By replacing the given text with your own, these files become the parts of your book.

PLEASE NOTE: The managing editor at Rodopi says that when he changes the paper size from Letter to A-4, the measurements of the text block change. That's because the margins stay the same, but paper size changes. The templates now on the site for monographs and collective volumes are based on the "Letter" size paper we tend to use in the US, not the "A-4" size paper that authors might use in Europe or elsewhere. In most cases these templates will conform to Rodopi's final print requirements. In some cases they will not. For example, if an author changes the template from "Letter" to "A-4," it will no longer be correct. And an author's printer could throw the template off. For the most part, it should still be useful for checking point size requirements, chapter heads, headers, and so on. But, at this stage, before doing an index or a final printing, early on in their work, authors should double check their format with special series editors and Eric.

Stage Three: Verifying VIBS Standards

The "Personal VIBS Style and Guidelines Checklist for Authors and Aid to Editors of Camera-Ready Copy" is available as a MSWord document.

Stage Four: Sending your book to an Editor

Follow the directions of your Editor for the sending camera-ready copy for publishing. VIBS requires that a complete package of materials be sent to the Series Editor (if the book is to appear in a Special Series), or to the Executive Editor, so that all of it may be checked before being forwarded to Rodopi with authorization to publish. The items on the Transmittal Checklist (your Editor will supply this form) are:

1. Complete camera-ready copy of book. No corrections or additional pages are to be sent. The Executive Editor will add the series page (p. ii), the advertising end pages, and back cover.

2. Permissions File. Contains permissions for worldwide use of copyrighted material and, if a collective volume, the transfer of rights by all of the contributors.

3. Author's Questionnaire. Crucial items include: information for contacting the author (for any last-minute questions); summary of the book's contribution (for back cover blurb and for marketing); full addresses, including postal codes and countries, of likely sources for reviews. The Author's Questionnaire is available as a webpage.

4. For collective volumes: full addresses of the contributors so that they may be sent their offprints and complimentary copies upon publication.

5. This checklist checked and signed.

6. A covering letter attesting to the presence of the six above items, calling attention to any special problems, suggestions, or questions, and
releasing the book for publication.
